Privacy Policy – People Integrated (”We, Us or Our”)  

For the purpose of applicable data protection legislation including but not limited to General Data Protection Regulation (EU) 2016/679 ”GDPR” and to protect your data when using our services this page informs you of our policies regarding the processing of your personal data. Kindly note that in certain of the jurisdictions in which People Integrated operate, a different legal basis for data processing might apply in certain cases.

For the purposes of this Privacy Policy, “you” are all the individuals/data subject who in any way uses People Integrated Services.

What kind of data do we collect, what are our purpose and what is our legal basis to process your data?
 In order for you to understand what kind of data we collect and process about you, several categories are listed below. As a data subject you may fall into more than one of the listed categories.  

  • Clients:
    At People Integrated we collect personal data about you in order for us to provide our Services to you. The data we collect, and process are most often regular data such as: Name, Address, Title, E-mail. We need to process these data about you in order to fulfill our contractual duties to you. Our legal basis is GDPR article 6 (1)(b).
  • Candidates:
    In order for us to find the best match for you and our clients we collect and process personal data about you. We process regular data such as your name, E-mail, title and any given information on your professional CV, LinkedIn or similar social media. In some occasions we may process financial information (where we need to carry out financial background checks).

    Our legal basis to do so is GDPR Article 6(1)(f) based on legitimate interest.

    In some cases, we may need to process personal data given from a personality test. The test will be provided from a third party and our legal basis to do so is your content GDPR article 6 (1)(a).
  • Others:
    We may also process personal data about you if you are listed as a referee for our client or candidate. In order to do so we process basic information on you as a referee in order to be able to contact you. The information we receive is very limited but needed as a quality assurance procedure in order for us to offer our Services. Our legal basis is legitimate interest in GDPR Article 6(1)(f)

  • Legitimate Interest:
    As mentioned above we often process your data in regards of the legal basis in GDPR (legitimate interest, article 6 (1)(f)). It is in our interest to find the best match for the candidates and clients, therefore we also believe that it is in your interest we process your data as an individual/ data subject, so we can offer you a more tailored, efficient service.  
  1. How do we collect your data?
    There are two main ways in which we collect your personal data:
    -     Directly from you; and
  • From third parties. (e.g. our candidates) and other limited sources (e.g. online and offline media and references)

How long do we keep your personal data?

  • Clients:
    We keep your information in the following calendar year plus five years in order to comply with our contractual duties and in accordance with the storage periods under tax and commercial law order. 
  • Candidates:
    We keep your resume and other related information for a specific position up to 6 months after the search for the position is fulfilled.

    Your name, title and E-mail will be saved for up to 2 years after we processed your data in order for us to comply with any contractual duties we may have with your and/ or our clients. 
  • Others:
    If you have been listed as a referee, we will keep your data for 6 months after the search for the specific position is fulfilled.

What are your rights as a data subject? 
As a data subject (i.e. as an individual whose personal data are processed by People Integrated) you have several rights to control and limit the use of your data, you have the right to:

  • To access and receive a copy of the Personal Data we hold about you
  • To rectify any Personal Data held about you that is inaccurate
  • To request the deletion of Personal Data held about you
  • To withdraw your consent over the processing of your data, at any given time
  • You have the right to data portability for the information you provide to People Integrated. You can request to obtain a copy of your Personal Data in a commonly used electronic format so that you can manage and move it.

Please note that we may ask you to verify your identity before responding to such requests.

To whom do we disclose your Data:
We may disclose your data to

  • To any client who could be a potential employer
  • A reference who can be an individual or organization, providing information on you and your work history
  • Tax, audit or any other authority when the law requires us to do so.
  • Any third party who provide us services or perform any function on our behalf (e.g. consultants, business associates and professionals’ advisers)
  • Any third parties who we have retained to provide services for us, such as personality tests, references, qualification and criminal record checks.

    We use several data processors in order for us to deliver our Services and maintain our website. We make sure your data is being processed securely.
